Tuesday, 8:47 AM. The maintenance tech knocked on my office door while I was still working on my first coffee.
"The case packer is down. The drive motor locked up."

Ball bearings start as steel wire, cut into slugs, cold-headed into spheres, then heat-treated, ground, and lapped until they're round within millionths of an inch. The difference between a cheap bearing and a precision bearing is in the tolerance grade, the steel, and the surface finish. ABEC 1 / Grade 200 is fine for a lawn mower. A high-speed indexing motor typically needs ABEC 7 / DIN P4—the precision classification used for high-speed, high-accuracy applications.
Our maxon motor's datasheet specified ABEC 7 / DIN P4 bearings with a stated runout tolerance. The precision was specified for a reason. And the same logic applies to the belt and the universal joint. Price differences are often real quality differences you can't see in a product photo. I'm not saying budget parts are always bad. I'm saying that when you don't understand the difference, you're not making a decision—you're gambling.
The TCO math that finally changed how I buy
When I first started managing MRO purchasing, I assumed the lowest quote was always the right call. The budget system rewarded visible savings. Three overruns later—make it four—I learned about total cost of ownership.
Now I run every motion-component purchase order through three questions:
- What happens if this part fails early? If the answer is "the line stops," the unit price is the least important number on the page.
- Who answers the phone at 6 AM? Authorized distributors with application engineers are expensive until the moment you need one. Then they're worth every dollar.
- Can we wait for the lead time? If we can't, the cheaper quote is prepaid schedule risk, not savings.

I get correct configurations, proper warranty handling, and people who know the difference between an EC-i and an EC-max. I looked back at the 2022 vendor consolidation project—where I cut our supplier list from 18 to 9—and realized the pattern was already in front of me. The suppliers who kept their spot answered questions, shipped on time, and produced documentation without a fight. The ones who lost their spot were cheaper on paper.
Is the premium option always worth it? Sometimes. Depends on context. I've bought the cheap timing belt and watched it run fine for two years. I've also seen one fail on a machine that couldn't afford the downtime. So now I use a primary-plus-backup approach: authorized for anything critical, budget suppliers only for parts where failure is an inconvenience, not a disaster. And I ask maintenance what the part is supposed to do before I compare prices.
In hindsight, I should have asked the reseller to put the 10-day promise in writing with a cancellation clause. Or I should have asked which exact configuration they were ordering from the factory. Instead, I accepted "it'll be fine." That phrase is now a red flag in our department.
Part of me wants to say "always buy premium." Another part knows that would be lazy. The honest lesson is simpler: understand the failure cost before you look at the price tag.

It's a cheap price compared to the alternative.
